The Problem: Automation Without a Plan Wastes Money

Too many companies jump into automation without understanding which processes deliver real ROI

🤔

Don't Know Where to Start

You know automation could help, but which processes should you tackle first?

💸

Wasting Budget on Wrong Automation

Companies often automate low-impact tasks while high-ROI opportunities sit untouched.

📊

No Clear ROI Picture

Without proper analysis, you can't justify automation investments to leadership.

Our Discovery Process Solves This

One fixed-price engagement ranks your opportunities by impact and feasibility, with an ROI estimate on each. You know where the money should go before you spend any of it.

What You Walk Away With

Deliverables you can act on right away, whether you build with us, build it yourself, or decide to wait

🎯

Your opportunities, ranked

Every process we look at, ranked by what it costs you today and what automating it would give back. Quick wins first.

  • ✓ Where the hours actually go
  • ✓ The bottlenecks and handoffs slowing things down
  • ✓ What to automate, what to fix first, and what to leave alone
💵

An ROI estimate per process

Hours saved, errors avoided, and payback period for each opportunity, so the numbers hold up when someone asks.

  • ✓ Time saved per week
  • ✓ Cost of errors and rework
  • ✓ Payback period
🧾

A fixed price for each build worth doing

If a build makes the cut, you get a fixed price for it. No hourly estimates, no open-ended quotes.

  • ✓ A clear scope for each build
  • ✓ The right tool for each job, from Make, Zapier, or Power Automate to custom code
  • ✓ What it would take to build it yourself instead
📋

A summary your decision-makers can approve

A plain-English summary your partners, board, or leadership can read in one sitting and say yes or no to.

  • ✓ The recommended order of builds
  • ✓ Budget and timeline for each phase
  • ✓ Process maps for the work that matters most

The Process Assessment covers your top 3–5 opportunities, with a rough ROI estimate for each and a recommended next step. The Discovery Sprint covers all of the above, across every department. Compare the two options

Why "Discovery" Instead of "Audit"?

Our 4-Step Discovery Process

From first call to a roadmap you can act on. The hours listed are your team's time.

🎯
Step 1 • Free

Intro call

A free call to agree which processes and departments to look at, who we should talk to, and which option fits: the Process Assessment or the Discovery Sprint.

👥
Step 2 • 2–3 hours (Assessment) or 5–6 hours (Sprint) of your team's time

Working sessions with your team

We walk through how the work actually gets done with the people who do it: every step, handoff, spreadsheet, and workaround.

📊
Step 3 • Our time, not yours

Analysis and ROI modelling

We rank each opportunity by what it costs today and what automating it would save, and check what your current software can already do. For the Discovery Sprint, we also put a fixed price on each build worth doing.

📋
Step 4 • One meeting

Roadmap walkthrough

We walk your decision-makers through the findings and hand over the summary. Build with us, build it yourself, or do nothing. The decision is yours.

What Discovery Looks Like in Practice

One example for each option. They show how each one runs. They're illustrations, not client case studies.

🧾
Example: Process Assessment

An accounting firm heading into tax season

The situation: A 15-person firm in Ontario. Every spring, staff lose hours chasing clients for T4 slips, receipts, and signed engagement letters by email.
What happens: One working session with a partner and the office manager: 2–3 hours of their time. We walk through client intake, reminders, and file handling.
What they walk away with: Their top 3–5 opportunities ranked, a rough ROI estimate for each, and a clear recommendation on what to do first.
🚜
Example: Discovery Sprint

An equipment dealership planning a bigger rollout

The situation: Sales, service, and accounting all re-key the same work orders into different systems. Everyone agrees it's a mess. Nobody agrees where to start.
What happens: 5–6 hours of working sessions across sales, service, and accounting.
What they walk away with: The full Automation Prioritization Roadmap: every opportunity ranked with an ROI estimate, process maps, a fixed price for each build worth doing, and a phased plan the owners can approve.

Frequently Asked Questions

What's the difference between Discovery, Advisory, and a Project Build? +
Discovery is a one-time, fixed-price engagement that gives you the plan. A Project Build is a fixed-price build of something on that plan, with 60 days of monitoring included. Advisory is a monthly strategy engagement for teams that build in-house, and the Fractional CAO puts strategy, building, and operations under one monthly fee. Most clients start with Discovery, then choose whichever fits their team.
How long does the discovery process take? +
The Process Assessment takes 2–3 hours of your team's time in one working session, and your summary follows within a week. The Discovery Sprint takes 5–6 hours of your team's time across departments. We book the sessions around your team's availability and confirm when you'll get the roadmap before we start.
Do I keep the roadmap if I don't build with you? +
Yes. The roadmap is yours, whoever builds it: your team, another vendor, or us. Discovery is priced as its own deliverable.
Do we need to know anything technical to participate? +
Not at all! We work with your subject matter experts who know the processes. We handle all the technical assessment, documentation, and analysis. You just need people who can explain how work gets done today.
What if we've already identified some processes to automate? +
Perfect! We can validate your assumptions, ensure you're not missing higher-ROI opportunities, and provide technical feasibility assessment. Many clients have ideas but benefit from our structured analysis and prioritization.
Will you recommend expensive enterprise software we can't afford? +
No. We're platform-agnostic and budget-conscious. We often recommend cost-effective tools like Make.com, Zapier, or Power Automate over expensive enterprise platforms. Our goal is maximum ROI, not maximum spend.
What happens if you don't find any good automation opportunities? +
We tell you, plainly. Sometimes the better fix is a process change or a setting in software you already own, and the summary will say so. We would rather lose a build than sell you one that doesn't pay back.
Can we implement the roadmap ourselves without your help? +
Absolutely. You own all deliverables and documentation, and many clients have internal IT teams who can build from them. We write the roadmap so a capable team can implement it without us. If you want guidance while you build, that's what Advisory is for.
