AI automation services for repetitive business processes

Your team is re-typing invoices, copying data between systems, and chasing approvals by email. That work doesn't need a person anymore. We identify, build, integrate, and manage AI-powered workflows across finance, operations, documents, sales, and reporting — and we stick around after launch.

Capabilities

What we automate

If the work is repetitive, digital, and follows rules a person could write down, it's probably automatable. Here's where we spend most of our time.

💼

Finance & accounting

The back-office work that eats your bookkeeper alive: invoices, payables, receivables, and reconciliation.

  • Invoice & receipt processing
  • AP & AR workflows
  • Bank reconciliation
⚙️

Operations

The glue work between systems: approvals, handoffs, order processing, and data that gets re-typed from A to B.

  • Approvals & handoffs
  • Order & job processing
  • Data transfer between systems
📄

Documents & email

AI reads the PDFs, forms, and emails your team currently reads by hand — then extracts, routes, and files them.

  • Data extraction from PDFs & emails
  • Classification & routing
  • Drafted responses with human review
📱

Sales & customer service

Leads captured, qualified, and followed up. Customers answered. Your CRM updated without anyone touching it.

  • Lead capture & qualification
  • CRM updates & follow-ups
  • AI chatbots & assistants
📊

Reporting & dashboards

The recurring reports someone rebuilds every Monday morning — generated automatically, from live data.

  • Recurring reports
  • KPI dashboards
  • Data consolidation

Under the Hood

See how one automation actually works

Benefits lists are easy to write. Here's what an automation looks like end to end — invoice processing, because almost every business has it.

Example: incoming invoice automation

  1. 1

    An invoice arrives by email.

  2. 2

AI identifies the attachment and extracts the vendor, amount, date, tax, and line items.

  3. 3

The system checks for missing information, duplicates, and business-rule issues.

  4. 4

Exceptions are sent to a person for review — nothing gets silently guessed.

  5. 5

Valid invoices are routed to the right manager for approval.

  6. 6

Approved data syncs into your accounting software (QuickBooks, Xero, Sage).

  7. 7

Every action is logged, so there's always an audit trail.

  8. 8

We monitor for failures, exceptions, and performance — and fix what breaks.

Before After
Staff open and read every email manually Invoice emails and attachments are detected automatically
Invoice fields are typed into accounting software Data is extracted, validated, and synced
Managers are chased for approvals by email Approval workflows are triggered automatically
Errors are found weeks later, at month-end Exceptions are flagged the moment they happen
Failures are discovered when someone complains The automation is monitored around the clock

“Oscar and his team are amazing, they are always there when we need them. The automation process has been truly amazing, and we have found alot more time and productivity in our day to day processes.”

AI where it helps. Reliable automation everywhere else.

A lot of automation companies will tell you AI can do everything. It can't — and pretending otherwise is how you end up with workflows you can't trust.

We automate the predictable work and route exceptions, approvals, and judgment calls to the right person.

📐

Rules

Deterministic logic handles the predictable steps — calculations, routing, validations. Same input, same output, every time.

🤖

AI

AI handles what rules can't: documents, language, classification, summarization, and messy, variable inputs.

🔗

Integrations

Connectors move data between your systems so nobody has to copy-paste between windows.

👤

Humans

Your people review exceptions, approvals, and judgment calls. They stay in control — they just stop doing the typing.

📡

Monitoring

We watch for failures, vendor API changes, and unusual activity — because software never stays still.

Integrations

We work with the systems you already use

Including the old stuff nobody else will touch. No "sorry, that's not supported."

Beyond Go-Live

What happens after launch?

An automation is an operational system, not a file we email you. Software updates break things. Vendors change APIs. Volumes grow. Somebody has to be watching.

One-time project build

We build a defined workflow, document it, and hand it over with launch support. Best if you have internal people ready to own it day to day.

  • Fixed scope, fixed price
  • Documentation and training included
  • Launch support while things settle in

  • Hosting, monitoring & maintenance included
  • Error investigation & fixes when software changes
  • Workflow improvements & new automation opportunities

Honest Check

Is your process a good candidate?

Not everything should be automated. This is the same checklist we run on discovery calls — save yourself a meeting.

Usually a strong fit

  • The task happens often — daily or weekly, not once a quarter
  • The process runs on digital information
  • The steps are reasonably consistent
  • Staff copy, check, route, or re-enter information
  • There are delays, errors, or bottlenecks today
  • Someone internally owns the process

! Maybe not ready yet

  • The process changes every week
  • Nobody agrees on how the process should work
  • Task volume is very low
  • An off-the-shelf feature already solves it
  • The required data is unavailable or unreliable
  • Nobody owns the outcome internally

On the fence? That's literally what the free automation plan is for.

Questions

Frequently asked questions

Do we need to know what we want automated before we talk to you?

No. Most clients arrive knowing something is eating their team's time without knowing exactly what to fix first. That's what discovery is for — we map your processes and rank the opportunities by ROI. If you want a zero-cost starting point, the free automation plan gives you a personalized shortlist.

Can you work with software that doesn't have an API?

Yes — this is one of the things we're known for. We automate desktop applications, VPN-protected environments, and legacy systems like Sage 300 CRE, Yardi, and PCLaw that have no official integration path. If your team can use it, we can automate it.

How much does an automation project cost?

Discovery engagements start at $1,500 CAD, and every project build is quoted as a fixed price before we write a line of code — no hourly billing surprises. Ongoing plans are flat monthly fees. Full ranges are on the pricing page.

How long does implementation take?

Discovery takes days, not weeks. A typical build runs two to six weeks depending on complexity, and most clients are live within three to eight weeks of the first call. The process page walks through each step.

What happens when the AI isn't sure?

It stops and asks. Any document, email, or data point the AI can't handle confidently is routed to a person for review — it never silently guesses. You define who reviews exceptions and what gets escalated.

Where does our data live, and who owns the automation?

You own your data and the workflows we build for you. We document where data flows, which AI providers (if any) touch it, and how access is controlled. Our AI governance resources cover data residency and provider choices in detail.

What support do we get after launch?

As much as you want. Some clients take a documented handover and run things themselves. Most choose the Monthly Automation Solution: we host, monitor, maintain, and improve the automations — and keep finding new ones.

Can you take over an automation someone else built?

Yes. Orphaned Zapier workflows, half-finished scripts, an integration built by a developer who moved on — we audit what exists, stabilize it, and take over the monitoring and maintenance.
